Add Publications to CRO
Please read the following carefully. Inclusion in the Higher Education Research Data Collection (HERDC), and the distribution of performance funding resulting from successful publication, will directly depend on the accuracy of information submitted.
Add Publications
Before you begin:
- Collect all bibliographic information– including a link (preferably a DOI) to the published article;
- Ensure you have details for all CSU authors (including staff number and internal affiliation)
- Locate the appropriate FOR and SEO Codes before entering your data - these can be found by clicking on the FOR and SEO Codes tab at the top of the page;
Log in to the system
- The first time you submit items to CRO a profile needs to be created.
- Use your staff number with CS (must be upper case) as a prefix as your login and your birth day and month (ddmm) as your password (ie. CS12345678 for login and 0101 for password).
- You will then need to wait an hour before entering your publication details.
Complete the relevant information for the Research Publications Data Collection. You will need to include:
- Bibliographic information– including a link (preferably a DOI) to the published article;
- Author information (including Publication points claimed).
- Note: The ‘Byline Number’ refers to the author order in the publication byline. CRO only captures full author details for the first eight authors, so we need all CSU authors to be entered first on the submission forms. However, the ‘byline number’ field preserves correct byline order in the display of citation details in CRO.
- Note: For Non-CSU authors, only name and affiliation details need to be entered.
- Please locate the appropriate FOR and SEO Codes before entering your data - these can be found by clicking on the FOR and SEO Codes tab at the top of the page;
- Abstract and subject keywords;
- Electronic copy of the final accepted draft of the item.
Submit the Word or electronic copy of the final accepted draft - after peer review and before layout adjustments by the publisher. This is not the final or 'publisher' version of the paper.
- This Word document or other electronic version of the publication will then be converted to a PDF document prior to being uploaded to CRO.
Click through all screens and select "Save" if you are not yet ready to submit the item:
- You can return to your saved submissions via the "Folders" screen. Saved but not submitted items will be in the Drafts folder.
When you are ready to submit the item:
- Check that all the information is correct, then click "Submit" for approval. When the item is submitted for approval it will be sent to both a) CRGT to determine suitability for Publication points and b) the Library to ascertain if there are copyright restrictions on the publication that has been deposited. Please note, personal details and information entered specifically for DEEWR will not be picked up by search engines or viewable in CRO.
Select New Deposit Activity:
- This will show eight alternative types of publications. Select the appropriate type for your publication.
- Best viewing is achieved when "window" is maximised and screen resolution is set at 1024 x 768 pixels.
- Before entering your data, it is highly recommended that you read the FAQ’s: Submitting to CRO, and/or the FAQ’s: Creative Works, for some handy hints in completing the forms.

Adding Publications for ERA
For ERA, we require all your publications since 2003 that have not already been submitted via CSU for HERDC (Higher Education Research Data Collection). This includes publications produced under the auspices of another institution.
For pre-CSU publications, select ‘ERA Submission’ in the ‘Submission Status’ dropdown. Select ‘pre-CSU’ as your University affiliation in the ‘Author’s details’ section.
Include both the final accepted draft and the publisher pdf if they are available.
